Do I Need a Bookkeeper?
5 Signs Your Small Business Has Outgrown DIY Bookkeeping

As a small business owner, you're probably wearing more hats than you'd like. Sales, marketing, operations, customer service, you name it and you're probably doing it. Somewhere in the middle of it all, you're supposed to be a pro at bookkeeping too. I know the feeling.

The challenge is that bookkeeping for your small business often gets pushed to the bottom of the priority list because it doesn't feel urgent. But trying to DIY your bookkeeping when you don't actually know accounting principles, doesn't just create messy records. It slows down your business growth, creates major cash flow problems, and makes it really hard to make smart business decisions.

Here are five signs your bookkeeping is holding your business back.

1. You Don't Know How Much Money Your Business Actually Makes

Many business owners look at their bank balance and think "oh, I have money in the bank, so I must be doing fine!". Wrong!

The problem with that is your bank account doesn't actually tell the whole story. It is just part of the puzzle.

You could have upcoming bills, unpaid invoices, loan payments, payroll obligations, or tax liabilities that aren't actually reflected in your bank balance.

If someone asked you today:

  • What was your profit last month?
  • Which services are most profitable?
  • How much should you set aside for taxes?

Would you actually know the answers to these questions? Or would you be guessing?

If you're just guessing, then your bookkeeping may not be giving you the full financial picture that you really need.

2. Tax Season Feels Like a Fire Drill Every Year

Do you spend weeks searching for receipts, downloading statements, and trying to jog your memory to remember exactly what happened throughout the year?

You're not the only one. I see it all the time.

Lots of small business owners only think about their books when tax season arrives and then it's a huge scramble which often leads to:

  • Missed deductions
  • Higher accounting fees
  • Last-minute stress
  • Increased risk of errors

Accurate bookkeeping would mean tax season becomes a smooth process, instead of a last minute crisis!

3. Your Cash Flow Is Unpredictable

One month you're feeling great. The next, you're wondering where on earth the money went!

Cash flow challenges are one of the biggest reasons businesses struggle, even when sales are strong. Sounds odd, right?

The sales are there, but there's still no money in the account? How is that possible?

Well, without accurate bookkeeping, it's really difficult to:

  • Track outstanding invoices
  • Monitor expenses
  • Forecast future cash needs
  • Identify spending trends

When your books are accurate, you can spot potential cash shortages before they become problems.

If you can spot the issues before it becomes a problem, you are one step ahead of the game.

4. You're Making Decisions Based on Guesswork

As a growing business, you need useful information to make good business decisions. Period.

You might be asking yourself questions like:

  • Should I hire another employee?
  • Can I afford new equipment?
  • Is this service profitable?
  • Should I raise my prices?

Answering all these questions requires accurate bookkeeping. You can't just guess!

When your bookkeeping falls behind, you're essentially in the dark on your numbers. I have seen business owners trying to make really important decisions based on assumptions rather than facts, and it is a very risky way to grow.

Highly NOT recommended.

5. You're Spending Too Much Time Doing It Yourself

Look, I know you want to save money. Loads of business owners start by handling their own bookkeeping, it makes them feel in control. It makes them feel like they are saving money and being financially responsible.

That can make sense in the beginning. I mean, it is always good to keep costs lean when you are just starting out.

But as your business grows, bookkeeping becomes more complex and let's face it, it's really time consuming! Hours and hours that you spend categorizing transactions and reconciling accounts are hours you can't get back. It is time you're not spending on sales activities, building client relationships, and other things that will grow your business.

Just ask yourself: What is your time worth?

If bookkeeping for your business is taking up all your evenings and weekends, it might be time to delegate it to a professional.

There is no use in you burning the candle at both ends, trying to do "all the things".

You need time to rest and think clearly too.

What Good Bookkeeping Should Actually Do

Listen to me carefully when I say this: Bookkeeping isn't just about recording transactions.

When bookkeeping is done properly, it should help you do a lot of things like:

  • Understand your financial position
  • Improve cash flow
  • Prepare for tax season
  • Make confident business decisions
  • Save time and reduce stress

That last point is probably the most important one of all. Save TIME. Reduce STRESS. I can't stress this enough.

There are so many business owners that could spend their time doing things that help grow their business, but yet they hold themselves back by trying to DIY everything, including bookkeeping.

Your financial records should support your business growth. It is the proof you need to make the important decisions that will move the needle in your business.
